POSITION TITLE: Mission Support Associate
REPORTS TO: Mission Support Manager | DEPARTMENT: Development
HOURS: Full-time | STATUS: Non-exempt | SALARY: $34,000
POSITION PURPOSE:
To provide support for development information management and recordkeeping and event logistics for signature events and class registration/presentation needs. The Mission Support Associate will assist with organization external and internal communications, working collaboratively across departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintain the agency’s stakeholder database (primarily donors and volunteers but expanding scope as agency evolves) and assure accurate and timely communications for stakeholder stewardship
- Meticulously record and maintain donor gift records and activities, including documentation of donations, pledges, pledge payments and regular reconciliation of related records with Finance Department.
- Record, track, and manage donations from sources such as social media, e.g., Facebook, and workplace giving, e.g., Benevity and United Way.
- Produce donor acknowledgements/correspondence; create/run mailing lists (USPS and e-mail) and reports; and other related data management as assigned.
- Create, edit and distribute Board Development Committee and Special Event Committee(s) materials.
- Assist in the coordination of receipt and tracking of in-kind donations.
- Provide logistical and communication support for special events, virtual classes and meetings – both virtual and in-person, as well as projects involving volunteers.
- Schedule and confirm events, classes and meetings – both virtual and in-person – and manage registration, distribute materials and answer questions regarding the same.
- Organize administrative aspects of meetings/classes such as agenda or other materials preparation, venue selection, food/beverage selections, virtual platform/audio-visual arrangements, and document development.
- Assist with classes as assigned, managing Zoom, Teams or similar virtual meeting platforms to assure smooth participation by all attendees and troubleshoot/resolve technical challenges.
- Assist with special project support for donor-related stewardship events and/or projects supporting the Board of Directors or other volunteer leaders, e.g., collaborations with Professional Dimensions.
ADDITIONAL DUTIES:
Provide support to:
- Communications Manager on projects such as web site updates, social media content creation, and distribution of e-newsletters and press releases
- Chief Human Resource Officer on projects related to staff communications, surveys, and administrative matters.
- Other duties as assigned.
REQUIREMENTS:

- An Associate’s degree or equivalent combination of education and experience.
- Two years of office management experience in a nonprofit or small business environment.
- Established competence using Microsoft Office Suite (Word, Excel, PowerPoint).
- Expertise with email marketing software (Constant Contact, Emma) and with CRM donor databases (Blackbaud, Salesforce a plus).
- Ability to learn new technologies quickly and easily.
- Onsite in-person and virtual (COVID-19 safe work environment accommodations are provided).

- Excellent verbal and written communication skills.
- Prioritize and handle multiple tasks simultaneously.
- Ability to work in team environment.
- Valid Wisconsin driver’s license and insured automobile required.
Additional Skills and Qualifications a plus:
- English-Spanish bi-lingual
- Basic bookkeeping experience
